Call Management
- Go to Numbers > Call Forwarding
- Allows you to Provide a forwarding destination for calls to your toll free number(s). Click edit below next to the number you’d like to update. Hint: A list of numbers can be entered into the ‘My Phone Book’ setting for quick access to commonly used forwarding numbers.
- To Edit Call Forwarding select the “Edit” Button

- To edit the name of the number type in the name you would like to give in the text box

Number List
This area shows all toll-free and local numbers attached to your account. From here you can add a greeting, voicemails, and forward the number to various endpoints.
Call Recording
- Find the number you want to be recorded and click the “Recording” button.
- Enable Call Recording
- To enable call recording for this number, click the “Call Recording Enabled” checkbox.
- To enable call recording for this number, click the “Call Recording Enabled” checkbox.
- Email Call Recordings
- To have call recording emailed to you click the “Send link to recording by Email” checkbox and enter the email you want it sent to in the Email field.

- Recording Length
- To record the entire phone call, click the “Record Entire Call” checkbox.
- To limit the recording length, uncheck “Record Entire Call” and enter the amount of seconds you would like to record for each call.
- To only record phone calls that are longer than a certain duration, click the “Enable Minimum Call Length” checkbox and enter the minimum length of call you would like to record.
- To keep all call recordings and not have them deleted click the “Keep Call Recordings Forever”
- To limit how long you want to keep a recording, enter how many days you would like to keep them.
- To record the entire phone call, click the “Record Entire Call” checkbox.
- Greetings
- To select the default greeting, click the “Default Greeting” bubble
- To select a personalized greeting, click the “Personalized Greeting” bubble then use the drop down to select which audio file you wish to use.
- To have your greeting in Spanish, click the “Spanish Greeting” bubble.
- To not have a greeting, click the “No Greeting” bubble.
- After making changes read the Confirmation prompt select the “I understand and agree” checkbox then hit “Save”.
- To select the default greeting, click the “Default Greeting” bubble
- Enable Call Recording
Call Forward Settings
Call Forwarding to allows you to select how you want your call forwarded by select the drop-down menu and select the desired option.
- Ring-To Number
- allows you to forward calls to a specific number
- allows you to forward calls to a specific number
- Voicemail/Fax
- allows you to forward calls to your voicemail & fax. (This will need to be set up prior to selecting this option)
- Phone Book
- allows you to select a number from your Phone Book to have calls forwarded. (You will need to create a contact in your Phone Book to select a number from it)
- allows you to select a number from your Phone Book to have calls forwarded. (You will need to create a contact in your Phone Book to select a number from it)
- Hunt Group
- allows you to forward calls to a Hunt Group that must be set up prior to selecting this option
- Closest Location
- allows to forward calls to the location closest to the caller based on their Caller ID by creating a list of locations this option. (This will need to be set up prior to selecting this option)
- Virtual PBX
- allows you to forward calls to a PBX menu that will direct your calls. (This will need to be set up prior to selecting this option)
- Conference
- allows you to forward calls to a Conference bridge for callers to access. (This will need to be set up prior to selecting this option)
Voicemail Setting
- Allows you to select how you want to set up your voicemail
- Voice Mail/Fax Off
- Disables Voice Mail/Fax functionality
- Voicemail Only
- Allows you to receive Voice Mail only
- Fax Only
- Allows only to receive Fax only
- Voice Mail & Fax
- Allows you to receive both Voice Mail & Fax
Rings
- Allows you to set the number of rings when your call is being forwarded to (must be a number from 0 to 15)
Call Handling Rules
- Override Account Time Zone
- To override time zones click the “Override Account Time Zone” checkbox to have that enabled
- TimeZone
- Select the time zone you would like to override

- Caller ID
- Choose what number you want the incoming caller ID to show:
- Actual Caller ID: Displays the callers phone number
- Original Dialed Number: Displays the number called (Usually your tollfree number)

- Max Call Length (minutes)
- Limit the amount of minutes a call can be.

- Automatic Address Look Up
- Allows you to see the address of the number calling in click the Automatic Address Look Up” box to have this function enable. (This is an add-on feature that costs 12¢ per call)

- Call Announcement
- Call Announcement: Allows for a message to play to the person receiving the call prior to hearing the caller.
- Call Announcement (Screening Enabled): Plays message and requires the receiver to press 1 to be connected to the caller.
- Announcement File
- Audio recording of the call announcement. Once you’ve created a custom audio you will be able to select it here, otherwise it will apply the system default)

- Payphone Blocking
- To block any incoming pay phone calls, click the “Enable Payphone Blocking” (There is a $10 charge each time pay-phone blocking is changed)

- Notification Emails
- To receive email alerts for incoming calls (not a voicemail message), enter the email address you wish to receive notifications.

- Save
- After verifying all changes click the “Save” button to have all the changed made to your Call Forwarding” or if you wish to cancel any changes click the “Close” button

Recording
To add and/or edit your call recording settings click the “Recording” button. Call recording will record all calls made to this number.

Mailbox
To make changes to your Mailbox click the “Mailbox” button.

- To change you Voice Mail Pin/Password enter a four-digit pin.
Note: the number cannot start with 0.

- Voice Mail Settings
- File Type: Only .WAV and .MP3 file types are compatible.
- Max Length (minutes) - Maximum voicemail length must be between 0-10 minutes
- Custom Greeting – Choose pre-recorded custom greeting.
NOTE: Custom greetings are created in Numbers > Manage Numbers > Custom Audio Files
Once recorded and saved the new file will show in the drop-down.

- Fax Settings
- Fax File Type: Faxes can be delivered as a PDF or a TIF file.

- Message Email Settings
- To send Voice Mails and Faxes to your email click the “Send Message Emails” checkbox.
- To have the emails send to your email addresses update the “Send To” textbox.
- To add multiple email addresses, use the comma then a space (or you can just use a comma). Example: example123@example.com, example456@example.com

- You can select between either a File or a Link that will send to your email.
- To send Voice Mails and Faxes to your email click the “Send Message Emails” checkbox.
