This area will Optimize your lead management with Lead Groups, a dynamic feature that efficiently distributes calls among multiple numbers based on customizable criteria such as days, times, areas, states, and specified lead amounts. This powerful tool ensures that your team is equipped to handle calls effectively, maximizing opportunities for successful interactions.
Note: Setting up Lead Groups is a one-time set-up fee of $15, and a monthly fee of $15.
Hunting Order – by Longest Wait
Hunting Order - by Longest Wait. Optimize your call handling with the "Hunting Order - by Longest Wait" feature. Calls will start with the number experiencing the longest wait, then proceed based on matching day, time, and state settings, as well as ensuring the maximum allowed leads (calls) for that number. haven't been reached. Improve efficiency and responsiveness with this intelligent call distribution method.
Repeat Call Routing
Repeat Call Routing from Previous Callers. After a call is picked up, the caller's number and the answering number are enlisted in the repeat call forwarding list for 30 days. Subsequent calls from the same number will be routed directly to the original answering number, without being tallied as additional leads. Simplify call handling and prioritize returning callers with this feature.
PBX/VoIP Routing
Client Numbers with PBX or VoIP Systems. Some PBX or VoIP systems answer all calls immediately and play ringing while they wait for the call to be answered. If a client reports being charged for a lead that wasn't answered, or you hear ringing on the call recording file, check to see if they are using one of these systems. (Call recording begins only once a call has been answered)
Add Lead Group
- To add create a Lead Group click the “+Add Lead Group” button
- Lead Group Name
- To add a name for your Lead Group fill in the “Lead Group Name” text box

- Audio
- Initial Hunt Group Greeting
- To add which Hunt Group greeting you would like to use, use the drop-down menu

- To set how long the hunting for a call will last use the “Hunting will end after” text box to enter the number of seconds. NOTE: Must be a value between 0-300.

- When choosing the “Play Personalized Message & Disconnect Call” you may choose which audio is selected by using the drop-down menu

- To apply these settings click the “I fully understand and agree” check box and click the save button or to cancel click the “Close” button

- To make any changes to you MultiCall Group, click the “Edit” button
Mailbox
- To setup/edit your Lead Group mailbox click the “Mailbox” button

- To set up a password enter a four-digit pin in the “Password” textbox. Passwords must be 4 digits long and cannot start with a 0.

- Voice Mail Settings
- File Type
- Allows you to select either a MP3 or WAV file for your voicemail

- Max Length
- Allows you to set the number of minutes the length of a Voice Mail is. NOTE: Maximum voicemail length must be between 0-10 minutes.

- To have Voicemails sent to your email, click the “Send Message Emails” checkbox to have this feature enabled.
- To enter the email address you would like to have the Voice Mails sent, enter a valid email address in the “Send To” text box
- To select how the Voice Mail is sent use the “Send As” drop-down menu

Delete MultiCall Group
- To delete a MultiCall Group click the “Delete” button
- To confirm your Lead Group removal click the confirm checkbox then “Delete” or “Close” to cancel the action.
Hunt Numbers
- To view your Lead Group’s numbers click the “Hunt Numbers” button
- Add Lead Group Number
- To add a number to your Lead Group click the “+Add Lead Group Number”

- Name
- To add a name for your Lead Group number, enter the name in the “Name” textbox.

- To set the number of rings enter it in the “Rings” text box.

- Next Call Wait Time
- To set the number of wait minutes a number will be able to ring, enter the number of minutes by entering the value in the “Next Call Wait Time” text box. Must be a number from 0 to 60.

- Call Priority
- To set the priority of the call, enter the number in the “Call Priority” text box. Must be a number from 0 to 10.

- Maximum Leads per Day
- To set the number of leads a number can take in a day, enter the value in the “Maximum Leads per Day:” text box. Must be a number from 0 to 99,999

- Save
- To apply all changes click the “Save” button or “Close” button to cancel

Delete MultiCall Numbers
- To delete a MultiCall Group Numbers click the “Delete” button
- To confirm your Lead Group Number removal click the confirm checkbox then “Delete” or “Close” to cancel the action.

- To make changes to the areas.... click the “Areas” button
