Virtual PBX

Virtual PBX
  1. Go to VoIP Platform > Virtual PBX

    This area will allow to customize a Virtual PBX (Private Branch Exchange), featuring a Main Menu, two optional secondary menus, and the flexibility of up to 25 extensions. Elevate your business's professional image and streamline call management effortlessly. Note: Setting up a Virtual PBX is a one-time setup fee of $9.95, and monthly fee of $9.95.

    To view information on Extensions, Menus, Hunt Groups, Call Recording, and Voice Mail and how they integrate with Virtual PBX click the corresponding tab you would like to view in this area.


New PBX

  1. To create a new PBX ensure the “Virtual PBX” tab is selected then click the “+ New PBX” button.
  2. To name your PBX enter the name in the “PBX Name” textbox.
  3. Extensions Settings
    1. To add an existing Extension set, click the “Use existing Extension Set” bubble then use the drop-down menu.
    2. To set up a new extension set click the “Use new Extension Set” bubble, then choose the Extension Length” as well as the “All extensions begin with digit” by using the drop- down menus.
  4. Voice Mail Settings
    1. To enter your PIN for your Voice Mail, enter it in the “4-Digit Password” textbox and to have your Voice Mails sent to your email use the “Email Files To” textbox.

  5. Save
    1. To save your PBX click the confirmation checkbox then click the “Save”. To discard any changes, click the “Close” button. NOTE: There is a one-time setup fee of $9.95 and a $9.95 monthly charge for each PBX.
  6. Delete
    1. To delete your PBX, click the “Delete” button
    2. To confirm your removal click the confirmation checkbox then click the “Delete” button.  To cancel click the “Close” button.

 

Properties

  1. To edit your PBX’s name and add a Holiday greeting click the “Properties” button
  2. To edit the name, enter it in the “PBX Name” textbox.
  3. To select a Holiday Greeting, use the drop-down menu. NOTE: Custom messages are added in the custom audio screen. Goto Numbers>Custom Audio.
  4. Save
    1. To apply your changes click the “Save” button.  To discard any changes, click the “Close” button.

 

Hours

  1. To set up the hours you would like your PBX to be played click the “Hours” button.
  2. After Hours Menu
    1. Calls made outside of the specified business hours will be sent to this menu
  3. To set the hours for a specific TimeZone for your PBX, use the “Business Hours TimeZone” drop-down menu.
  4. Business Hours
    1. To set the Business hours for your PBX select the day you wish to specify, and you will be able to change the Status, which will be “Open All Day”, “Closed All Day” or “Specified Hours”.  For Specified Hours select the hours you would like then click the “+Add” button. To remove the hours, click the “Delete” button.
  5. Save
    1. To apply your changes click the “Save” button.  To discard any changes, click the “Close” button.

 

Mailbox

  1. To setup/edit your PBX’s mailbox click the “Mailbox” button
  2. Password
    1. To set up a password enter a four-digit pin in the “Password” textbox. Passwords must be 4 digits long and cannot start with a 0.
  3. Voice Mail Settings
    1. File Type
      1. Allows you to select either a MP3 or WAV file for your voicemail
    2. Max Length
      1. Allows you to set the number of minutes the length of a Voice Mail is. NOTE: Maximum voicemail length must be between 0-10 minutes.
    3. Custom Greeting
      1. Allows you to add a custom greeting by using the drop-down menu. (Custom messages are added in the custom audio screen. Goto Custom Audio


  4. Message Email Settings
    1. To have Voicemails sent to your email, click the “Send Message Emails” checkbox to have this feature enabled. 
    2. To enter the email address you would like to have the Voice Mails sent, enter a valid email address in the “Send To” text box
    3. To select how the Voice Mail is sent use the “Send As” drop-down menu


  5. Save
    1. To apply all changes, click the “Save” button or “Close” button to cancel

 

 

Menus

  1. To set up your PBX menus, click the “Menus” button.

  2. This area will allow you to create a new menu as well as show any created menus. NOTE: All calls are sent to the Main Menu first and branch out from there depending on what menu digit is pressed or if an extension is dialed. You can assign an action to menu digits 1-9, and the * and # keys. (Such as press 1 for sales, 2 for customer service, 3 for tech support, or press the # key to repeat this menu).
  3. New Menu
    1. To create a menu, click the “+ New Menu” button
    2. To name your Virtual PBX Menu, enter a name in the “Menu Name” textbox. NOTE: This is a Main Menu which is not editable.
    3. To select a greeting for your Virtual PBX Menu, use the “Greeting” drop-down menu. NOTE: Custom messages are added in the custom audio screen. Goto Numbers>Custom Audio.
    4. To set how many times your Virtual PBX Menu will repeat enter the value in the “Repeat Menu” then you can choose what you want the call, such as Disconnect Call, Send to Ring-To, Send to PBX Voice Mail, Send to Menu, Send to Another Extension’s Voice Mail, and Send to Another Extension. by using the “and then drop-down menu.
    5. To enable 2-Digit Menu Choices click the checkbox.
    6. To create a choice for your Virtual PBX Menu, click the “+ Add New Choice” button.
    7. Select which number you would like to have caller’s press by entering number in the “Menu Digit” textbox followed by the action using the drop-down menu.  When you are finished, click the “Add” button or to discard the change(s) click the “Cancel” button.
  4. Edit
    1. To make changes to your Virtual PBX Menu, click the ”Edit” button.

Extension Sets


New Extension Set

  1. To create a new Extension set, click the ”+ New Extension Set” button.
  2. To set the name for the extension, enter it in the ”Extension Set Name”.
  3. Extension Settings
    1. To set your how many digits your extension is, use the “Extension Length” drop-down menu.
    2. To set what digit the extension starts with use the “All extensions begin with digit”
  4. Save
    1. To apply all changes, click the “Save” button or “Close” button to cancel

 

 

Delete

  1. To delete your Extension Set, click the “Delete” button
  2. To confirm your removal, click the confirmation checkbox then click the “Delete” button. To cancel click the “Close” button.

 

Properties

  1. To edit the name click the “Properties” button, then enter the name you would like in the “Extension Set Name” textbox. 
  2. To apply your changes click “Save” button, to canel the changes click the “Close” button.

 

Extensions

  1. To add an extension, click the “+ New Extension” button. Extension Requirements:Extensions must be 3 digits.
    1. To create the extension, enter the number in the “Extension” textbox then enter a name in the ”Extension Name” Also to make this the default extension click the “Is Default Extension” checkbox.
    2. To select a greeting use the drop-down menu. Custom messages are added in the custom audio screen. Goto Numbers>Custom Audio
    3. To select an action to follow if the call is not answered use the ”Action” drop- down menu.
    4. To add a number, you want the extension to forwarded click the “+ New RingTo” button.  Then enter the number into the “Ring-To Number” next enter the number of rings you would like in the “Rings” textbox last choose if you wish to enable “Call Announcement” by using the toggle button and selecting which announcement you would like to use by using the drop-down. Once you’ve entered everything click the “Add” button.
    5. Click “Save” to confirm changes or “Close” to cancel
  2. To remove an extension from your Virtual PBX, click the “Delete” button.
    1. To confirm the removal of the extension, click the confirmation checkbox then click the “Delete” button. To cancel the removal, click the “Close” button.
  3. To edit the extension to make any changes click the “Properties” button.  NOTE: you cannot change the extension number you would need to remove or create a new extension number.
  4. To edit the Voice Mail of the extension, click the “Mailbox” button. 
  5. To change you Voice Mail Pin/Password enter a four-digit pin.  Note: the number cannot start with 0.
  6. Voice Mail Settings
    1. Allows you to select which type of File you would like to set for your Voice Mail MP3 or WAV.
    2. Max Length (minutes) Allows you to set the number of minutes by entering a number in the text box. Maximum voicemail length must be between 0-10 minutes .
    3. Custom Greeting Allows you to set the greeting for your Voice Mail by using the drop-down menu. NOTE: Custom messages are added in the custom audio screen. Goto Numbers>Custom Audio.
    4. To send Voice Mails and Faxes to your email click the “Send Message Emails” checkbox. 
    5. To have the emails send to your email addresses update the “Send To” textbox. To add multiple email addresses, use the comma then a space (or you can just use a comma). Example: example123@example.com, example456@example.com
    6. To select how you would like to send the Voice Mail use the “Send As” drop- down menu.
    7. You can select between either a File or a Link that will send to your email.
    8. Click “Save” to confirm changes or “Close” to cancel
